New Patients

Appointments

Your initial appointment will include:

  • Time for us to listen to you about what are your goals and desired outcomes of your dental treatment. This also the time when you are able to ask us any questions or you concerns you have about your care
  • We will go through your medical history and discuss your past dental visits.
  • A comprehensive exam
  • Most patients receive their dental cleaning at the first appointment, unless we determine that it would be in your best interest to return for a follow up time to have your cleaning completed.
  • In some cases, if patients are looking to have a lot of work done, or need a lot of dental treatments, we may ask you to come back for a 1 on 1 consultation with the doctor.

Insurance Reimbursements and Payment Policies

  • Many of our patients have dental insurance and most of the policies differ in benefits. It is our goal to streamline the insurance billing process for our patients. Therefore, our policy is as follows:
  • Prior to any treatment, we will provide you detailed information regarding your care, treatment sequence and financial investment. As a courtesy to our patients, we will submit insurance claims on their behalf.

Patient Financial and Reservation Policy

In an effort to serve our patients in a timely manner, we have updated our appointment policies

effective January 1st, 2026. Our goal is to provide high-quality dental care and clear

communication regarding both financial and scheduling expectations. In order to do so, we ask

that patients adhere to policies listed below. These protocols enable us to better utilize available

appointments for our patients in need of dental care.

Financial Policy

• Estimates are provided as a courtesy based on insurance benefits. Insurance

companies may alter coverage at any time, so your out-of-pocket costs may change.

• We file insurance claims on your behalf, but you are responsible for all charges,

regardless of coverage.

• If insurance payment is not received within 60 days, you are responsible for the

balance.

• Payment is due at the time of service, unless prior arrangements are made.

Reservation & Appointment Policy

If you need to cancel or reschedule, please notify us at least 48 hours in advance.

This allows us to offer your time to another patient in need of treatment.

• 1st cancellation (under 48 hours): No charge

• 2nd cancellation: $1 per minute of your scheduled appointment time (e.g., 60 mins =$60)

• 3rd cancellation: $150 Reservation Fee for all future appointments or may result in

dismissal from the practice

Late Arrivals

In an effort to serve our patients in a timely manner, we ask that you are on time for your

scheduled appointment. In the event you are running late, please call the office. If you are

more than 15 minutes late to your scheduled appointment, you may be asked to reschedule.

Thank you for choosing Walnut Family Dentistry for your dental needs. We hope these
